Zoom Rooms Integration Guide

Overview

RoomScore integrates with Zoom Rooms to help facilities managers audit their conference room portfolio. By connecting your Zoom account, you can:

  • Import your Zoom Rooms inventory automatically
  • View room locations organized by site, building, and floor
  • See equipment details (cameras, microphones, speakers) for each room
  • Start room scans directly from your Zoom Rooms list

Requirements

  • Zoom Account: Admin or Owner role with Zoom Rooms access
  • RoomScore App: iOS app installed on iPhone 12 Pro or later
  • RoomScore Account: Signed in with Apple, Google, or email

Connecting Your Zoom Account

  1. Open the RoomScore iOS app
  2. Go to Settings (gear icon in top right)
  3. Tap Connect Zoom Rooms
  4. Sign in to your Zoom account when prompted
  5. Review the requested permissions and tap Authorize
  6. Wait for your rooms to sync (this may take a few moments for large organizations)

Once connected, your Zoom Rooms will appear in the Portfolio tab, organized by site, building, and floor.

Permissions Explained

RoomScore requests the following Zoom permissions:

Permission Why We Need It
View Zoom Rooms Import your room inventory
View locations Organize rooms by site, building, floor
View devices Show equipment details (cameras, mics, speakers)
Room control Dial Zoom Rooms into test meetings (coming soon)
View user info Verify your admin permissions and display connected account

Using the Integration

Viewing Your Rooms

After connecting, your Zoom Rooms appear in the Portfolio tab. Tap a site to expand and see buildings and floors. Tap a room to view details or start a scan.

Starting a Room Scan

  1. Find the room in your Portfolio
  2. Tap the room name to open the info sheet
  3. Tap Start Scan
  4. The room name and location will be pre-filled from Zoom

Disconnecting Your Zoom Account

From RoomScore

  1. Open RoomScore and go to Settings
  2. Tap Zoom Rooms
  3. Tap Disconnect

This removes your OAuth tokens from the device and clears imported Zoom Room data from RoomScore.

From Zoom

You can also revoke access from your Zoom account:

  1. Go to Zoom App Marketplace
  2. Click ManageInstalled Apps
  3. Find RoomScore and click Uninstall

Data and Privacy

  • OAuth tokens are stored locally on your device in iOS Keychain (hardware-encrypted)
  • Tokens are never sent to RoomScore servers
  • Imported room data (names, locations, devices) syncs to your RoomScore account
  • When Zoom Rooms join test meetings, Zoom may show room names to hosts and participants, including Zoom-generated notifications
  • Disconnecting deletes all Zoom-related data from RoomScore

Troubleshooting

No rooms appear after connecting

  • Verify your Zoom account has Admin or Owner role
  • Check that your organization has Zoom Rooms configured
  • Try disconnecting and reconnecting

Authorization failed

  • Ensure you're signing in with an account that has Zoom Rooms admin access
  • Check your internet connection
  • Try again in a few minutes

Rooms not syncing

  • Pull down to refresh in the Portfolio tab
  • Check Settings → Zoom Rooms for sync status
  • Large organizations may take longer to sync
