Conference Room Audio Case Study: 12-Room Portfolio Audit

The problem
A 12-room office portfolio had recurring complaints from remote employees: some rooms sounded hollow, some made people repeat themselves, and one large boardroom was blamed on expensive AV hardware even though the same equipment performed well in another room.

The most important discovery was that the expensive boardroom equipment was not the first thing to replace. The boardroom had a long decay tail and a large hard table under a reflective ceiling. Remote participants were hearing the room as much as they were hearing the microphone.
Fix plan by room type
The audit changed the remediation order. Instead of opening a vendor escalation on every complaint, the team split fixes by the measured failure mode.
Boardrooms with long RT60
Two boardrooms had RT60 readings above the practical target for speech clarity. The recommended first move was ceiling treatment over the table and absorption on the wall behind seating. The team deferred a microphone replacement until after treatment because the measurement showed a room decay problem.
Huddle rooms with coverage gaps
Two huddle rooms had acceptable RT60 but inconsistent pickup at the far seat. The fix was not wall treatment. The likely problem was microphone placement and seating geometry, so the action was a layout change, mic retest, and updated room instructions.
Rooms with elevated background noise
One room had steady HVAC noise that competed with normal speech. The team routed that room to facilities, not AV support. The first actions were diffuser inspection, door-seal checks, and a retest during normal occupancy.
The business outcome
The portfolio plan reduced the initial budget request. Instead of proposing hardware changes across all 12 rooms, the team proposed targeted acoustic treatment in two boardrooms, layout or mic-position changes in two huddle rooms, and facilities work in one noisy room.
That matters because conference room audio failures are often misclassified. If every complaint becomes an AV hardware issue, teams spend money before proving the room is ready. If every complaint becomes a facilities issue, teams ignore microphone coverage and call-platform behavior. The measured workflow gave both teams a shared evidence base.

Lessons for IT and facilities teams
- Measure the room before replacing hardware. Long RT60 can make good microphones sound bad.
- Rank by use and severity. A heavily used room with a moderate score can deserve action before a low-use room with a worse score.
- Keep confidence visible. A low-confidence measurement should trigger a retry, not a budget decision.
- Separate owners by failure mode. Echo and HVAC issues often belong to facilities; coverage gaps often belong to IT or AV.
- Retest after every fix. A case study is only useful if the improvement is measured, not assumed.
